Exhibition booth rental in Singapore is a smart choice for growing brands because it gives you a professional, custom-printed booth without the upfront cost of ownership, the need for storage space, or the risk of a design you outgrow after one show. You rent the frame, print your own graphics on it, and the rental partner handles delivery, set-up, dismantling and storage.

This guide explains what booth rental includes, when renting beats buying, which systems are available for rent, and how to get the most from a rented booth at Singapore venues.

What exhibition booth rental includes

Booth rental means hiring the structural elements of a booth, such as frames, walls, counters, lightboxes and TV stands, for the duration of an event, usually with your own branded graphics printed to fit. A complete rental service from Display Systems & Prints covers logistics and packaging, installation and dismantling, and storage and maintenance of your prints and systems, as described on our rental services page. It has three parts:

  • Exhibit set-up: our dedicated, experienced team makes sure installations are professionally handled and on time for the event or exhibition.
  • Logistics: event support for both local and overseas events and exhibitions.
  • Warehousing: storage for portable and modular systems, with all prints and systems checked before and after each event.

Why growing brands rent

Budget goes to the things visitors notice

Exhibiting has many costs besides the booth. CEIR’s breakdown of the exhibit dollar found that floor space alone takes 36% of the typical budget, show services 17%, travel and entertainment 14%, exhibit design 11% and shipping 10% (CEIR, via TSNN). Renting the structure keeps the design share flexible, so more of the budget can go to graphics, lighting, demonstrations and pre-show promotion.

Flexibility while your plans change

Growing companies rarely exhibit at the same size twice. One quarter it is a 3m x 3m shell scheme upgrade, the next a 6m x 4m space-only plot, and in between a mall roadshow. Rental lets you match the system to each event instead of forcing one owned booth to fit every space.

No storage or maintenance burden

An owned booth needs space to store it and someone to check it before the next show. With rental, the systems live in our warehouse and are checked before and after each event. Patrick Albert, reviewing our service on our About Us page, noted that he could ask us “to store my pop-up booth for me to reuse at the next event”.

A professional result at small scale

Smaller brands compete for the same buyers as large ones. CEIR research found that 94% of trade show attendees have net buying influence for their organisation, and that more than half of attendees work for organisations with up to 99 employees (CEIR, via Associations Now). Exhibitions are a place where a growing company can stand next to established names, and a well-finished rented booth helps it look the part.

Less waste

Rental systems are reused event after event, with only the graphics changing. That matters in Singapore, where the Ministry of Sustainability and the Environment has said Semakau Landfill is expected to run out of space by 2035 at current disposal rates (MSE). Our catalogue also marks Shell Clad, shell graphics, shell posters and shell solutions as recyclable.

Rent or buy: a comparison

Factor Rent Buy
Upfront cost Lower; pay per event Higher; pay once
Booth size flexibility Choose a different system per event Fixed to the system you own
Storage Handled by the rental partner Your own space, or paid warehousing
Maintenance Systems checked before and after each event Your responsibility
Graphics Printed for your brand each time Reused or reprinted as needed
Best for Occasional exhibitors, changing sizes, new brands Frequent exhibitors using the same set-up

A simple rule of thumb: count how many events you expect to run with the same booth size and look over the next year or two. If the answer is one or two, or you are not sure, renting keeps your options open. If the same set-up will appear at many events, ownership starts to make sense, especially when storage and maintenance are handled for you.

You do not have to decide forever. Many of our systems are available to rent or purchase, so you can rent first and buy once you know a system suits your event calendar. Making a rented booth fit Singapore venues

A rented booth still has to follow venue rules. Points worth checking with your rental partner:

  • Height. At Suntec Singapore, structures and booths 4m and above require technical plans at a scale of no less than 1:50 (Suntec Singapore). Most portable systems stay well below that, which keeps approvals simple.
  • Materials. The same venue requires materials that are non-combustible or rated at least Class 2 for surface flame spread (Suntec Singapore materials).
  • Power. Electrical work at Suntec is limited to licensed electrical workers on the venue’s accredited list (Suntec Singapore). Order power for lightboxes and screens through the proper channel.
  • Outdoor roadshows. SCDF’s outdoor event conditions cap booth height within tentages at 3 metres and require clear passageways of at least 1.2 metres between rows (SCDF).
  • Hall size. Singapore EXPO halls offer up to 10,000 sqm each, with ceilings of 10–16m in Halls 1–6 and 8–10m in Halls 7–10 (Singapore EXPO). In large halls, lit headers and lightboxes help a rented booth stay visible.

How booth rental works, step by step

  1. Share your requirements. Tell us your event date, venue, booth size and goals, by form or a quick call. We reply within one working day.
  2. Receive a layout and quote. We propose the right booth layout with visuals and a clear, itemised quote. Revisions are included until it fits.
  3. Approve artwork. We print your graphics to fit the chosen systems.
  4. Delivery and set-up. Our crew delivers and builds the booth on site before doors open.
  5. Teardown and storage. After the show we dismantle the booth and return the systems to our warehouse, where they are checked before the next event.

Kendrick Lim described this process on our About Us page: “The ordering, printing, and fabrication process was clear and smooth (psst with updates and photos as well)”, adding that our staff “even gave me tips on setting up, cleaning and maintaining the display”.
