The five must-have trade show booth displays are a branded backdrop, a lightbox, a reception or demo counter, a roll-up or linked banner, and a screen on a stand or built into a wall. Together they give your booth something to see from the aisle, a reason to step closer, a place to talk, a flexible message board and moving content to hold attention. Choose the right version of each for your booth size and venue, and you have a complete, professional stand.

Below we explain each display, compare the options, and cover artwork, indoor and outdoor use, and how to get more value from every piece.

Why the right displays matter

Trade show visitors are decision-makers. Research by the Center for Exhibition Industry Research (CEIR), based on 9,000 attendees and 800 exhibitors, found that 94% of attendees have net buying influence for their organisation. The same research found that 56% of attendees prefer face-to-face conversation with exhibit staff as their first source of information, with product demonstrations second at 20% (CEIR, via Associations Now).

That tells you what your displays need to do: attract people from the aisle, then support a conversation or a demonstration. Each of the five displays below does one part of that job. In Singapore, where the Singapore Tourism Board reports the city has been ICCA’s top meeting city in Asia Pacific for 23 consecutive years (STB), halls are busy and the competition for that attention is real.

The 5 must-have displays

1. A branded backdrop

The backdrop is the largest surface in your booth and the first thing people see. It carries your brand name, a short message and the main visual. Options in our range include:

  • Pop Up (Magnetic): pull up the frame, attach the magnetic graphic panels and the display is ready. Available curved or straight, with a customisable number of panels and height, and optional LED lights.
  • Pop Up (SEG/Velcro) Fabric: a fabric graphic on a frame that expands as you unfold it. Tool-free set-up, built-in LED ladder lights, and sizes of 2, 3 or 4 panels.
  • Maxpoles (Backdrops): a portable backdrop that sets up in minutes with no tools, with TV integration available.

2. A lightbox

A lightbox is a frame with a backlit fabric graphic. Because the image is lit from behind, it stays bright whatever the hall lighting, which makes it one of the most effective ways to be seen from a distance. Our lightboxes can be built up to 3m tall and 12m long, with LED header, TV integration and floodlight options. On Zimmer Biomet’s booth in a dimly lit event area, a lightbox backdrop with floodlights kept the branding clear (Zimmer case study).

3. A reception or demo counter

The counter is where conversations start. It gives staff a natural place to stand, holds brochures and samples, and carries your logo at eye level. Our portable counters and wider counter range include link counters, LED column counters, demo counters, Panel Up counters, Expo Case counters, Pirouet counters, sampling counters and pop up counters. For ThermoFisher, a round branded reception counter became the first touchpoint of a compact conference booth (ThermoFisher case study).

4. A roll-up or linked banner

Roll-up banners are among the most flexible displays you can own. They pack small, stand anywhere, and can carry a product message, a promotion or directions. For larger walls, LINK2 (Pull Up) banners use rear magnetic bars to link several roll-ups into one continuous mural, and the Twist Banner scales from a single banner to larger modular stands. See our roll-up and pull-up banners.

5. A screen on a stand or in the wall

Video holds attention and shows products that are too large or complex to bring. Our TV On Stand units can carry your branding or include a counter, and TV integration is available on Maxpoles, ISO Frame, Pop Up and lightbox walls. Placement matters: on Hitachi’s booth, one screen faced the aisle to draw passers-by while a second engaged visitors inside (Hitachi case study).

Comparison table

Display Main job Best for
Backdrop (Pop Up, Maxpoles) Brand presence from the aisle Every booth; the base of the layout
Lightbox Visibility in busy or dim halls Feature walls, headers, premium look
Counter Welcome, demos, sampling Staffed booths, product launches
Roll-up / LINK2 / Twist Flexible messages, extra walls Small budgets, roadshows, overflow messages
TV on stand / integrated screen Moving content, demonstrations Technical products, presentations

Most of these are available to rent or purchase. In our catalogue, the Lightbox, Pop Up (Magnetic and Fabric), roll-ups, LINK2 and Twist banners and counters can be rented or bought, while Maxpoles and TV stands are rental only (rental catalogue).

Indoor vs outdoor use

Most trade show booth displays are designed for indoor halls. Outdoor events, such as roadshows and festivals, bring different rules. SCDF’s fire safety conditions for outdoor events require that booths within tentages do not exceed 3 metres in height, that each row of booths does not exceed 15 metres by 6 metres, that clear passageways of at least 1.2 metres are kept between rows, and that nothing is placed within 1.5 metres of fire safety equipment (SCDF). Plan your displays to fit those limits. Our range also includes flying banners and retractable Q poles for event spaces.

Indoors, venues set their own rules. Suntec Singapore requires booth materials that are non-combustible or rated at least Class 2 for surface flame spread (Suntec Singapore) and limits electrical work to licensed electrical workers on its accredited list, which matters for lightboxes and screens (Suntec Singapore).

Preparing artwork for large format printing

Large format printing means printing on oversized media such as fabric, vinyl and backlit film. Good artwork is the difference between a sharp display and a blurry one. Follow these steps:

  1. Get the exact template. Each system has its own graphic size. Ask your supplier for the template before designing.
  2. Use vector logos. Logos and text in vector format stay sharp at any size.
  3. Use high-resolution images. Photos must be large enough for the final print size; ask your printer to check them.
  4. Keep key content at eye level and above. Lower parts of a backdrop are often hidden by counters and people.
  5. Keep text short. A brand name, one message and a call to action read better from the aisle than paragraphs.
  6. Approve a proof. Check colours, spelling and contact details before production starts.

Customised printing is included with every system we supply, and our printing and installation team handles the production in-house.

Getting more value from your displays

  • Reuse frames, change graphics. Systems such as Pop Up, ISO Frame and lightboxes can be refitted with new prints for each campaign.
  • Store them properly. We provide warehousing for portable and modular systems, and all prints and systems are checked before and after each event.
  • Combine displays into a layout. A backdrop, counter and screen planned together look more professional than pieces bought separately.
  • Budget for the whole booth. CEIR found exhibit design accounts for 11% of the typical exhibit budget, against 36% for space (CEIR, via TSNN); good displays protect that larger investment.

Frequently asked questions

What displays does a trade show booth need?

A branded backdrop, a lightbox or other lit element, a reception or demo counter, a roll-up or linked banner, and a screen. Together they attract visitors, support conversations and show your products.

What is the difference between a magnetic pop up and an SEG fabric pop up?

A magnetic pop up uses graphic panels that attach to the frame with magnets and can be curved or straight. An SEG/Velcro fabric pop up uses a fabric graphic on the frame and comes in 2, 3 or 4 panel sizes with built-in LED ladder lights. Both set up without tools.

How big can a lightbox be?

Our lightboxes can be built up to 3m tall and 12m long, with LED header, TV integration and floodlight options.

Can I rent trade show booth displays instead of buying them?

Yes. Most of our displays can be rented, and many can also be purchased. Customised printing is included with every system.
